Pay and payouts
Calculate each employee's commission and track payouts.
Fansquare calculates the commission of each employee paid on commission, from the sales attributed to them, and keeps the register of what you owe them. Rules are set in Settings › Pay, payouts are tracked in Team › Payouts, and each employee sees their share in My earnings.
The principle in one example
Three things decide what an employee earns: the sales attributed to them, their profile's rate for each sale type, and the payout cycle.
At Studio Nova, commissions are paid monthly and Hugo has the "Senior" profile: 20% on private media, 10% on tips. From 12/09 to 12/10, the sales attributed to Hugo come to, in net amount:
| Sale type | Net sales attributed to Hugo | Rate | Commission |
|---|---|---|---|
| Private media | €3,240 | 20% | €648 |
| Tips | €860 | 10% | €86 |
| Total | €734 |
During the cycle, Hugo sees this amount grow in My earnings with each sale. On 12/10, the cycle closes: a line of €734 to pay to Hugo appears in Team › Payouts. Clara pays him by bank transfer, outside Fansquare, then clicks Paid. A new cycle has already started on 12/10.
The commission is calculated on the net amount of the sale, the one in the Net column, never on the gross. Refunded sales do not count.
Who a sale goes to
Fansquare attributes two sale types on its own, as soon as they come in:
a private media goes to the employee who sent, from Fansquare, the message that contained this media;
a tip goes to the last employee who wrote to the fan in the conversation, before the tip.
A sale from a Mass DM or an automation goes to the employee who created it. A media item sent directly on MYM, outside Fansquare, has no employee: the sale stays Unattributed.
The other types (subscriptions, renewals, MOD, MYM push, lives, referrals) are attributed by hand. Only the employee who sent the message counts, whatever the shifts.
You decide which sale types go to employees in Settings › Configuration, under Revenue types to attribute. By default, these are private media and tips. A sale of another type shows Not applicable and enters no commission.
Correct the attribution of a sale
The agency can change the employee of a sale at any time. This happens in Team › Analytics, Orders tab, which lists the period's sales one by one. The Attributed to column shows the employee and how the sale was given to them: Auto or Manual.
A sale with no employee: choose the employee in Assign to....
A sale already attributed: click Remove attribution, then choose the right employee.
Several sales: tick them, then choose the employee in Assign selection to... at the top of the table.
The tab's filters quickly find what is left to do, for example the Unattributed sales. An attribution made by hand is never replaced by the automatic attribution. The earnings of both employees concerned update at once.
A closed cycle no longer moves. A correction made after closing changes the analytics, but not the amount already recorded in Team › Payouts. Correct the sales before the end of the cycle.
Correcting an attribution requires the Manage commissions and payouts right, in addition to access to Team › Analytics. Nobody can attribute a sale to themselves, except the owner, and each person only corrects the sales of the creators in their scope.
Pay rules
Everything is set in Settings › Pay.
- 1
Turn on commissions
Turn on the switch in the General section, then choose the Cadence: Weekly or Monthly.
- 2
Create the profiles
In Pay profiles, click Add a profile. A profile has a Name, a Currency and a Rate per sale type, from 0 to 100%. Tick Agency default profile to apply it to any employee who has no chosen profile.
- 3
Choose the employees paid on commission
In Team › Employees, choose Edit in an employee's menu, turn on Paid on commission, then choose their profile in Pay. Without a choice, they get the default profile. The Pay column of the list then shows each person's profile. The owner cannot be paid on commission.
A few rules to know:
The rates offered follow the Revenue types to attribute. A type left empty (a simple dash in the table) is not paid, and the employee sees a warning. A rate of 0% is a real choice and warns nobody.
A rate change applies to the whole current cycle, not only to the following sales.
The calculation is done in euros, then converted to the profile's currency at the rate of the closing day.
A fixed salary or a bonus is paid separately.
Deleting a profile puts its employees back on the default profile.
Payout cycles
The first cycle starts when you turn on commissions, and lasts a week or a month. A monthly cycle opened on 12/09 closes on 12/10, and the next one runs until 12/11.
At the end of a cycle, the amount of each employee paid on commission is frozen. Each amount becomes a To pay line in Team › Payouts. An employee with no commission over the cycle has no line.
On each line to pay:
Paid records that you have paid the employee, once the transfer is done on your side;
Not owed cancels the line, for example for an employee who left before the end of the cycle;
Undo stays available for 24 hours after Paid or Not owed, in case of a mistake.
At the top, To pay, Employees to pay, Cycles to pay and Already paid sum up the register. All chatters and All statuses filter the lines. All lines stay in the register.
Changing the cadence applies from the next cycle. If you turn off commissions, no cycle closes, and the sales made in the meantime enter no cycle: turning it back on opens a new cycle from that moment.
What the employee sees
An employee paid on commission sees My earnings in their sidebar, with the amount of the current cycle. This amount goes up with each sale attributed to them, with a coin sound that Notification sound turns off. A click on the amount shows the breakdown by sale type and the start date of the cycle.
The My earnings page lists their closed cycles: the Period, the Amount, the Status (To pay, Paid or Not owed) and the Paid on date. Their My performance page also shows their current earnings.
The amount of the current cycle stays provisional until closing: an attribution correction, a refund or a rate change can still move it.
Rights and display
Settings › Pay and Team › Payouts require the Manage commissions and payouts right. With the My perimeter scope, payouts show the cycles that count at least one sale on the employee's creators.
Settings › Pay is always there for anyone with this right. Team › Payouts and My earnings only appear once commissions are active, or a cycle has already passed: turning it off never hides pay already earned.
My earnings shows for every employee paid on commission, never for the owner.
