Shifts

Plan who works, when, and on which creators.

Shifts say which employee covers which creator, and at what hours. The schedule opens from Team › Shifts.

Read the schedule

The schedule has two views, Calendar and List. In Calendar, each creator has her row, and each shift forms a block in it with the employee and their hours. Each employee keeps their color. You switch from the Day view to the Week view, and Today brings you back to the current day.

A night shift that goes past midnight shows in two pieces in Week view: "18:00 →" the first evening, "→ 02:00" the next morning.

At the top of the page, All creators and All employees filter the schedule on one creator or one employee.

The List view shows one row per series, with the Creator, the Employee, the Time and the Recurrence.

Create a shift

  1. 1

    Open the form

    Click New shift, or directly on an empty cell in a creator's row. In Day view, the shift starts at the hour you clicked, rounded to the quarter hour. In Week view, it starts at 18:00. It lasts 2 hours by default.

  2. 2

    Choose the creator and the employees

    Choose the Creator, then one or more Employees. With several employees, Fansquare creates one shift per employee: you then edit them separately.

  3. 3

    Set the hours

    Fill in the Start date, the Start time, the End date and the End time. For a night shift, the end date is the next day.

  4. 4

    Choose the repeat

    Choose the Repeat, then click Add.

Repeating shifts

A shift can repeat:

  • Does not repeat: a single shift;

  • Every day;

  • Every week or Every 2 weeks, on the days you tick;

  • Every month: the same weekday at the same position, for example the second Tuesday of the month. A fifth weekday becomes the last one of the month;

  • Every year: the same weekday at the same position, in the same month.

Tick Ends on to stop the series on a date: that day still counts. Without an end date, the series goes on.

Edit, duplicate, delete

A click on a block opens three actions:

  • Edit changes the whole series, never a single occurrence. The form shows the hours of the first shift in the series;

  • Duplicate opens a new form already filled in, to give the same shift to other employees. The original shift does not change;

  • Delete asks, for a repeating shift, what you remove: This occurrence, This and following or Entire series.

In the List view, only Duplicate and Delete are offered, and deleting removes the whole series.

The time zone

The button next to New shift shows the schedule's time zone, Paris by default. It opens the Select timezone window. A shift stays fixed in time: changing the time zone only changes the time displayed and the time you enter.

The schedule goes back to Paris when you reopen the page.

Shifts, sales and supervision

Sales and supervision do not depend on shifts: a sale goes to the employee who sent the message, whether they are on shift or not (see Pay and payouts).

An employee who has the My performance page finds their shifts for the week there.

Rights

The page opens with the View employees and the schedule right. Creating, editing, duplicating and deleting a shift require the Manage employees and the schedule right. A role limited to its creators only sees and plans their shifts.
